IRIS AutoMail
records certain daily events in the IRIS database and these act as
triggers to create appropriate letters. There are dozens of
templates - from letters of engagement to a covering letter for a
tax return. Your client's details are filled in automatically and a
letter is produced with just three clicks of the mouse.
For example, when IRIS prints a tax return (the event), it
sets the trigger in IRIS AutoMail for a covering letter to that
client. To alert your users, if the letters are not printed at the
time, IRIS AutoMail displays a list of letters waiting to be
processed for each user. The list shows the clients and type of
letters. Letters can then be printed for individual clients or a
selected batch of clients simply by selecting from the list.
Letters are stored for reviewing or reprinting at a later date,
which can prove very useful if the client loses the original.
The best of both worlds

IRIS AutoMail uses
Microsoft Word to generate
the letters, enabling you to create documents with maximum
flexibility in a familiar environment. A large range of letter
templates provides standard wording but you can easily amend the
standard template, either for a one-off letter or to store as your
version of the master copy. You can also create your own master
templates.
A deceptively simple but powerful addition to your

IRIS AutoMail adds
value even when used in stand-alone mode. However, it brings most
benefit to busy practices when used in conjunction with the IRIS
centralised data base. It can then draw on standing data to
complete correspondence with everything from names and addresses to
tax details. This makes personalisation even easier and creates
opportunities for running targeted marketing campaigns.
